What is Onboardly?
Onboardly is a WhatsApp-based recruitment compliance platform. It automates the entire compliance document collection process — requesting documents, validating them with AI, chasing candidates automatically, handling references, and generating a final compliance pack — so consultants stop spending their day chasing paperwork.
How do candidates submit their documents?
Entirely through WhatsApp — a channel candidates already use every day. There are no apps to download and no portals to log into. Our assistant guides each candidate through submitting one document at a time and confirms when each is received.
Which documents and checks does Onboardly handle?
DBS checks (including DBS Update Service verification), Right to Work, professional registrations such as HCPC, training certificates, and employment references. You choose which documents are required for each role and Onboardly collects and tracks them.
How are documents verified?
Each upload is run through OCR and AI validation to confirm it is the right document, is legible, and matches the candidate. Anything the AI is not confident about is flagged for manual review rather than auto-rejected, so you stay in control of edge cases.
How do reference checks work?
Onboardly requests references by email, validates the responses, and automatically chases referees who haven't replied. Personal email addresses (gmail, hotmail, yahoo, outlook) are flagged as non-professional so you can decide whether to accept them.
What happens if a candidate doesn't respond?
Onboardly chases automatically on a frequency you control — daily, every two days, or weekly — so candidates are followed up consistently without you lifting a finger. Every action is recorded in an audit log.
Is Onboardly GDPR compliant and secure?
Yes. Onboardly is built for regulated sectors with GDPR compliance and bank-level security. Candidates must explicitly consent before any documents are collected, and DBS checks require separate explicit consent. Every action is logged for a complete audit trail.
